In the heart of Kwara State, the Kwara Health Insurance Agency (KWHIA) — also called KwaraCare, witnessed a transformative journey as Info Epignoses, a leading innovation company, undertook a five-day digital literacy training program. Designed to elevate the proficiency of government agency staff, the training touched on crucial facets of digital literacy and technology, leaving an indelible mark on the participants. The program’s significance and impact are encapsulated in several key highlights and outcomes: Skill Empowerment, Enhanced Efficiency, Collaborative Success, Positive Attitude Shift: Impact on Daily Tasks, Lifelong Learning.

Objectives of the Training

1. To provide the staff with hands-on expertise in utilizing digital tools and technology for office-related tasks.

2. To equip the staff with the proficiency to get tasks done quickly and with more precision.

3. To foster a culture of teamwork and effective collaboration through project management and seamless communication among teams

4. To enable participants to practically apply their newly acquired knowledge and skills to their daily work tasks, making the training immediately relevant and valuable.

Day 01 – Basics of Windows OS and Microsoft Office

The training commenced with an emphasis on fundamental Windows OS concepts and basic document creation and formatting in Microsoft Word. Participants were introduced to Windows OS basics, file management, and navigation. The session then transitioned to Microsoft Word, revealing advanced features like page breaks, section breaks, and automated table of contents generation.

This emphasis on foundational skills wasn’t merely a prelude; it served as a cornerstone for the participants’ digital journey. Proficiency in Windows OS and Microsoft Word became the bedrock upon which more advanced technological competencies would be built, ensuring that the participants are well-equipped to navigate the evolving digital landscape with confidence and skill.

Day 02 – Data Collection and Data Management

Participants delved into the practicalities of Google Forms, a powerful tool for streamlined data collection. The hands-on session involved creating a customized form for “Enrollee Subscription,” showcasing the immediate applicability of digital tools to real-world scenarios.

Additionally, participants extended their proficiency by developing quizzes, demonstrating a practical understanding of how these tools can enhance information gathering and assessment processes. Emphasis was also placed on the importance of file naming conventions, instilling in participants the significance of organized data management for efficient workflows.

Day 03 – Collaborative Workflow & Project Management

In this phase of the training, participants were immersed in the dynamic world of collaborative workflows, gaining insights into the seamless integration of Google Drive into their professional toolkit. The session covered not only the basics of folder and file management but also delved into the transformative power of real-time collaborative document editing using Google Docs. Participants witnessed firsthand the potential of these Google applications to enhance teamwork and streamline document creation, fostering an environment of shared productivity.

Building on this collaborative foundation, the training introduced participants to the fundamentals of project management using Trello. Recognized as an invaluable tool for team collaboration, Trello provided a visual platform for organizing tasks, projects, and deadlines.

Day 04 – Practical Project Management with Trello & Miro

This day was marked by the practical application of Trello for collaborative project management, allowing participants to create and manage projects in groups based on their departments.

In addition, participants got to explore Project Management using Miro, a digital collaborative whiteboard platform. The practical session allowed participants to create and manage projects visually on a digital canvas, facilitating brainstorming, idea sharing, and collaborative planning. The day’s activities emphasized the newfound efficiency of project management workflows and concepts, thereby enhancing the team’s collaborative skills.

 

Day 05 – AI Tools for Office Productivity and OCR Technology

At the culmination of the training, the participants were introduced to the transformative realm of Artificial Intelligence (AI) tools, with a specific emphasis on ChatGPT. This segment aimed to illuminate the potential of AI in revolutionizing office productivity. Participants delved into the capabilities of ChatGPT, exploring how natural language processing could be harnessed to streamline day-to-day tasks like writing reports, letters, and proposals. 

The participants were also exposed to Optical Character Recognition (OCR) technology, a pivotal element in the digitization journey. This facet of the training focused on the conversion of scanned text into editable formats, showcasing the invaluable role of OCR in data processing and document management. 

Training Impact

1. Streamline Data Collection: Participants were thrilled to learn a more efficient way they can collect data from healthcare providers. By using Google Forms, they resolved to streamline the process of data collection, thereby reducing errors & saving valuable time.

2. Effortless Report Generation: The participants experienced a notable transformation in report generation. With the newfound knowledge of ChatGPT, they decided they will start using ChatGPT as a writing assistant to prepare comprehensive reports, emails, proposals, letters in a fraction of the time than it used to take.

3. Enhanced Collaboration: The participants witnessed a more effective way to managing their projects. They resolved to use Trello for project management, which will facilitate smooth communication and project tracking.

4. Improved Document Organization: Participants resolved that henceforth they will be meticulous in following a file naming conventions for their digital files, thus ensuring that they have a well-organized digital environment, which will make data retrieval quick and straightforward.
